We are not talking about the kind of hired “Expert” who takes your watch and tells you the time of day. We mean the folks in your company who know stuff that matters. How can you help them share that effectively in your organization?
"With this new release of KPOINT, we want to give you specific suggestions about the roles you and your colleagues play in your organizations. These suggestions are about how to use Enterprise Video to dramatically improve communicating and sharing your knowledge'
This is the third in our blog series. In this blog, we speak to you, the Expert. The knowledge we are talking about here is not the fundamental and broad-spectrum kind. It’s specific and directly impacts your company and its customers. Sometimes it’s time-sensitive. These are the important insights, corrections, updates, tips, and tricks, local to your situation that is critical to succeeding in a competitive world. You must quickly inform those who need it to act.
At the end of this blog, we want you to share with us something you know about. Having a bit of fun. Read on!
It’s a three-step process. Let us walk you through a typical situation at a General Insurance company. An actual KPOINT customer experience is described in a video here.
"Your salesperson is about to meet a prospect who wants to sign up and buy Insurance today. Yesterday, new regulations modified eligibility criteria. It’s in the newspapers. The Insurance regulators have sent out a “GR”, a Government Resolution to your company. There is a deadline to put it in effect. Have you communicated to your salesperson exactly how your product line is affected?"
1. Create a Knowledge Asset.
There are many tools available that allow you to do that easily and without help. The easiest way may be recording an online web conference where you explain something while sharing your screen. The recording can be edited and pruned. KPOINT’s Enterprise Platform has easy to use features that can do this on your mobile phone as well. This part is full of possibilities. From the simple and quick DIY to the elaborate and highly produced. We suggest you take the DIY approach.
"As the internal expert, You first analyze the “GR”. You figure out which products are affected. What’s the impact? Customer eligibility, Rates, Terms, and Conditions, At your desk, You can create a video walkthrough of the regulatory document with a voiceover talking about its general impact. Next, open up individual product pages or documents and indicate how each has been affected. Edit if needed"
2. Share it Quickly and Securely
Who needs to use the new asset? You might need to consult with management to ensure only those who need it get it. Remember it’s valuable information and has to be securely shared. Be conservative. With a few clicks, you can make them available to anyone anywhere in the world. Enterprise Video Systems allow you to share assets selectively.
You can’t push that toothpaste back once it gets out there.
"As part of your company’s process, you may need to share first with Leadership what the GR means and how it affects the company as a whole. Then you need to send it to Marketing so they can begin changes in the hardcopy collateral, and most importantly to Sales teams across the nation so they understand the changes and are well prepared in the field before they get the branded collateral. Sound long-winded? An Enterprise Video Platform allows you to do all that with just a few clicks. You can select recipients with various levels of access. Do this internally and securely on your company’s platform."
3.Track and Preserve your Knowledge Assets.
As the Expert who made the asset, the ‘Owner’, most systems will allow you to track who has seen it, when they saw it, how much of it they watched, their comments and feedback, and if it has been further shared. This information is useful to monitor the impact of your recent input. If the required actions have not created the expected result your company has concrete data to analyze the situation. Did people not get the information? Did they not act in time?
Some of these knowledge assets will continue to have value. You can add it to an appropriate Knowledge Base structure your organization maintains so it can be used the next time you need it.
"Your rapid action of creating the Knowledge asset and sharing it has begun paying many dividends. Leadership has seen it and understands. A Web Conference call as a follow-up settled most questions. You flipped that meeting!! A dashboard provides stats on who all have seen it and when. Compliance and Audit teams have a readymade report. The Sales teams across all regions have also seen it. A few commonly raised questions that you had to answer could be archived by making an addendum to the asset. The asset has been added to the knowledge base. Anyone who has access within the company may search or browse for it and use it. Formal Marketing collateral derived from it will be made available to the public at large over the website. All that triggered just from your Enterprise Video Platform."
When people count on you for the knowledge they need to act quickly use Enterprise Video Platforms. The easy DIY media is only one of the many benefits. That’s just one example we shared.
